A business phone system gives your team one set of business numbers, and rules for who answers, what happens when nobody does, and where the record of each call lives. In 2026 almost every UK system runs over the internet. The choice is no longer landline or VoIP. It is which kind of internet phone system fits the way your team works.

Seat prices are each provider's published price for the plan a small team would buy, with UK calls included up to the provider's fair use limit. Line charges a plan fee plus the calls and texts you use. Handsets, extra numbers and add-ons are not included.
The calculator covers the subscription and normal UK calls. Budget for these too:
- Desk phones: £45 to £150 each to buy. Some providers only rent handsets on a multi-year contract.
- Extra numbers: usually £1 to £6 a month for each extra local, 03 or 0800 number.
- Setup fees: most self-serve providers charge none. Some, such as Dialpad, state that setup fees apply.
- AI answering: often a separate add-on. RingCentral's AI Receptionist, for example, is £32 a month for 100 minutes, then 40p a minute.
- Call recording and transcription: included on some plans, charged per minute or per user on others.
- VAT: almost every business price is quoted without VAT. Add 20 per cent if you cannot reclaim it.

The rules we followed:
- Published facts only. Every score comes from the provider's own UK pricing, feature or help pages. Where a fact was not published, the provider does not score for it.
- The plan a small team would buy. For each provider we priced the cheapest plan with UK outbound calls included and an auto attendant or ring group. Plans are priced on monthly billing with no contract, excluding VAT.
- Cost is calculated, not judged. Each provider's cost is the monthly bill for five people who make or take about 200 minutes of calls and 50 texts a month each. Change those inputs in the calculator above.
- Line is scored by the same rules. Line's price comes from its live pricing page, so the ranking moves if that price changes.
- Public prices only. We left out GoTo Connect and Gamma Horizon because they publish no UK prices, and 3CX because it is software you host with a separate line provider. 8x8 is included because many buyers shortlist it, and it scores 0 for cost.

What is a business phone system?
A business phone system is the service that runs your business phone numbers. It decides which people and devices ring when a customer calls, what happens when nobody answers, and where calls, voicemails and texts are recorded. Modern systems run in the cloud and ring apps on mobiles and laptops as well as desk phones.
There are five types sold in the UK:
Mobile-first cloud phone
Business numbers that ring an app on the phones and laptops your team already own, with texts, WhatsApp and a shared inbox.

How to choose a business phone system: seven steps
Count who answers, and where they are
Write down every person who takes customer calls and where they are when the phone rings: at a desk, on a site, in a van, at home. A team that is mostly away from a desk needs a system built around the mobile app. A team at desks all day can use desk phones and call queues.
Decide what happens to a missed call
This is the decision most buyers skip. Choose what a caller gets when nobody is free: another teammate, voicemail, an automatic text back, or an AI receptionist that answers and takes the details. A missed call with no follow-up is usually a customer who calls someone else. Hiya's 2026 State of the Call survey found 85 per cent of UK consumers do not answer calls from numbers they do not recognise, so a call back is not a safe fallback.
Choose your numbers
A local 01 or 02 number looks established in your area. An 03 number costs callers the same as a local call and works nationally. An 0800 number is free to call from mobiles and landlines. A 07 number can send and receive texts. See UK number types below, or keep the number you already have.
Check texts and WhatsApp on a UK number
If customers text you, check that the provider sends and receives SMS on UK numbers, not only on US numbers. Several of the largest providers do not. Check your internet connection
Each call needs about 100 kbps in each direction. A stable connection matters more than speed. The VoIP connection check tells you how many calls your line can carry at the same time.
Compare the total cost, not the headline price
Price the plan you would actually use, for your real team size, on the billing term you want. Add handsets, extra numbers, AI and recording add-ons, and VAT. The calculator above does most of this for you.
Read the contract before you sign
Check the minimum term, the notice period, the price rise terms and the cost to leave early. If 10 or fewer people work for your business, you have extra rights under Ofcom rules. Do not sign a clause that waives them.

UK rules to know before you buy
The PSTN switch-off: 31 January 2027
Openreach switches off the old copper phone network on 31 January 2027. On 31 July 2026 it said "there is no extension to the deadline" and that around 1.5 million lines, including about 350,000 business premises, were still on the old network. Its wholesale line rental rose 20 per cent in April 2026 and 40 per cent in July 2026, and a final rise on 1 October 2026 doubles the price.
Anything that dials out over an old line stops working too: card machines, alarms, lift phones and fax machines. Check each one with its supplier. Our PSTN switch-off guide covers what to move and in what order.
999 and power cuts
A VoIP phone needs power and an internet connection. When either fails, so can a 999 call. Ofcom's General Conditions require VoIP providers to warn consumers and businesses with 10 or fewer people, in plain English, that 999 access "may cease if there is a power cut or power failure, or a failure of the internet connection". Providers must also offer a way to reach 999 for at least one hour in a power cut to customers who depend on their landline.
What to do:
- Register the address where each number is used, so emergency services can find you.
- Keep a charged mobile phone in the building. A mobile reaches 999 on any network with signal.
- Ask the provider how 999 works on its app. Some apps cannot make emergency calls over Wi-Fi, and some services do not carry 999 at all.
Keeping your number
You can move almost any UK number to a new provider. Ofcom's General Conditions cover geographic, non-geographic and mobile number portability. Once a port is ready, the switch must happen within one working day, and any loss of service must not exceed one working day.
The wait before a port is ready varies. Onecom's published BT Wholesale lead times are 4 working days for a single line, 7 for several lines, 10 for lines with direct dial numbers, and 22 for complex setups. Some providers quote 20 working days or more. Order the port early and keep the old service running until the new provider confirms the move.

An 084 or 087 number costs your customers extra, and many people know it. For most small businesses, a local, 03 or 0800 number is the better choice. A 07 number is the one that customers can text.
Contracts: your rights if 10 or fewer people work for you
Ofcom treats a business, charity or not-for-profit with 10 or fewer people as a microenterprise or small enterprise. You get these protections:
- A short contract summary before you sign.
- End-of-contract notifications, and an annual best tariff notice.
- A maximum initial commitment of 24 months.
- Notice of a contract change that is not to your benefit, and the right to leave without an early termination charge within one month of that notice.
- Since 17 January 2025, no inflation-linked or percentage-based price rises in new contracts. Any rise must be set out in pounds and pence.
A provider can ask you to agree in writing to give up some of these protections. Read the contract for that clause, and do not sign it without a good reason.
Call recording
UK businesses can record calls for listed purposes, such as keeping a record of what was agreed or checking standards, under the Investigatory Powers (Interception by Businesses etc.) Regulations 2018. You must make all reasonable efforts to tell callers. A recording is personal data, so you also need a lawful basis, a retention period and a privacy notice. Watch out for US-first providers
Some of the best-known phone systems are built in the US, and their UK plans do not always include what a UK business expects. We found these limits on the providers' own pages on 29 September 2026:
- RingCentral does not offer SMS on UK numbers. Its community forum says it is planned.
- 8x8 says in its help pages that its app "does not support SMS chat on phone numbers from outside the United States and Canada".
- Dialpad says SMS is "only available in the United States and Canada" on its pricing page. Its help centre offers UK SMS as an add-on through sales.
- Vonage's business app sends SMS in the US and Canada only. UK texts need the Max plan's eSIM, and those texts do not sync with the main account.
- Quo (formerly OpenPhone) and Talkroute do not sell UK numbers at all.
UK mobile networks also block texts sent to UK mobiles from US-style numbers. If your customers text you, choose a provider that texts from a UK number.
How to switch without missing a call
List what you have today
Note every number, who it rings, the voicemail greeting, and any device that uses the line, such as a card machine or alarm.
Set up the new system first
Create the account, add your team, set business hours and your missed-call rule. Test it on a temporary number before you move anything.
Order the port
Give the new provider your account number and a recent bill. Do not cancel your old service. The port moves the number, and the old contract ends when it completes.
Forward calls while you wait
Most old providers let you forward the number to the new system or a mobile while the port runs, so no call is missed. See how to forward calls to another phone.
Test on the day, then tell your team
When the port completes, call the number from a mobile, send it a text, and leave a voicemail. Then check every device that used the old line.

- Can I send and receive texts on my UK number? What about WhatsApp?

- How does 999 work on the app, and what happens in a power cut?
- How long will it take to move my number, and do you charge for it?
- What is the fair use limit on "unlimited" calls?
- Can I use my own mobile and laptop, or must I buy handsets?
- Who owns my numbers and call recordings if I leave?
